The Administrative Specialist (AS) serves as a key support role for the home office and acts as the first point of contact for employees, patients, referral sources, caregivers, and visitors. This position is responsible for providing professional clerical and administrative support while helping create a welcoming, organized, and service-focused office environment.
The ideal candidate is detail-oriented, highly organized, customer-service driven, and thrives in a fast-paced healthcare setting.
Qualifications
Education
- High School Diploma or GED required
- College coursework or degree preferred
Experience
- Minimum of one year of general office or administrative experience preferred
- Healthcare or home health experience is a plus
Skills & Abilities
- Strong computer and data entry skills
- Excellent organizational and multitasking abilities
- Professional communication and interpersonal skills
- Ability to maintain confidentiality and professionalism at all times
- Knowledge of medical terminology preferred

Transportation
- Reliable transportation required
- Valid driver’s license and current auto liability insurance required
Key Responsibilities
- Answer incoming calls and direct inquiries appropriately
- Serve as the in-person receptionist for visitors, employees, patients, and vendors
- Provide exceptional customer service to internal and external stakeholders
- Process incoming and outgoing mail, deliveries, and shipments
- Coordinate office supply ordering and vendor services
- Schedule travel arrangements, including hotel, rental car, and meal reservations
- Maintain office contact lists, phone directories, and key points of contact
- Assist with planning meetings, special events, and company conferences
- Provide clerical and administrative support to leadership and the Marketing Department
- Support office operations through data entry and computer-based administrative tasks
- Order flowers/plants for bereavement and special occasions as directed
- Maintain confidentiality of patient, employee, and agency information
- Promote the agency’s mission, values, and professional image in all interactions
- Communicate effectively with patients, families, team members, physicians, and community partners
Work Environment
- Office-based position during standard agency operating hours
- Moderate office noise level in a fast-paced environment
- Flexibility to work extended hours as needed
- Occasional exposure to standard office materials such as toner and cleaning products
