Position Overview:
The Workers' Compensation Administrator is responsible for administering the Company's multi-state workers' compensation program by coordinating claims, ensuring regulatory compliance, supporting injured associates throughout the claims process, and facilitating timely return-to-work efforts. This position serves as the primary liaison between associates, operations, Human Resources, third-party administrators (TPAs), insurance carriers, and medical providers to ensure workers' compensation claims are managed efficiently, consistently, and in compliance with applicable laws.
The Workers' Compensation Administrator partners closely with Human Resources, Operations, Safety, Loss Prevention, and external vendors to support effective claims administration, reduce organizational risk, and promote a positive associate experience.
Primary Responsibilities:
Claims Administration
- Administer the Company's workers' compensation claims program across all operating locations.
- Serve as the primary internal contact for workers' compensation claims and related inquiries.
- Ensure workplace injuries are reported timely to the Company's third-party administrator (TPA) and insurance carrier.
- Monitor claims from initial report through closure to ensure timely claim handling and appropriate follow-up.
- Maintain accurate claim files and documentation.
- Coordinate communication between injured associates, supervisors, Human Resources, medical providers, and the TPA.
- Review claims for completeness and identify concerns requiring escalation.
Return-to-Work Coordination
- Coordinate return-to-work and modified duty programs with Human Resources and Operations.
- Track medical restrictions and work status updates.
- Partner with operational leaders to identify transitional work assignments when appropriate.
- Monitor leave status and coordinate with HR regarding ADA, FMLA, state leave, and other applicable leave programs.
Compliance & Program Administration
- Ensure compliance with applicable federal, state, and local workers' compensation requirements.
- Maintain required records and regulatory documentation.
- Support audits, regulatory reporting, and insurance renewal activities.
- Assist with incident investigations by gathering documentation and supporting materials.
- Maintain confidentiality of medical and claim information.
Vendor & TPA Coordination
- Serve as the primary liaison with the Company's TPA, insurance carrier, nurse case managers, and medical providers.
- Participate in periodic claim review meetings.
- Monitor vendor responsiveness and escalate service issues to leadership.
- Assist in coordinating litigation documentation and requests from legal counsel.
Reporting & Analytics
- Prepare routine workers' compensation reports and dashboards.
- Monitor and analyze key program metrics, including claim volume, lost-time claims, reporting timeliness, open claim inventory, claim aging, and return-to-work outcomes.
- Identify claim trends and recommend opportunities for process improvement.
- Provide claim summaries, trend analyses, and actionable recommendations to leadership.
Training & Support
- Provide guidance to managers and HR partners on injury reporting procedures and workers' compensation processes.
- Assist with developing training materials and educational resources.
- Promote consistent claim handling practices across stores and distribution centers.
- Essential Duties and Responsibilities
Qualifications:
- Associate's or Bachelor's degree in Human Resources, Business Administration, Risk Management, or related field, or equivalent experience.
- Three to five years of workers' compensation administration or claims coordination experience.
- Knowledge of multi-state workers' compensation laws and claims administration.
- Experience working with third-party administrators, insurance carriers, and medical providers.
- Strong organizational, analytical, and communication skills.
- Proficiency with Microsoft Office, particularly Excel, and claims management systems.
- Ability to manage multiple priorities while maintaining confidentiality.
- Workers' compensation certification (CWCP, WCCP, AIC, ARM, or similar).
- Retail, distribution, or high-volume multi-location experience.
- Working knowledge of ADA, FMLA, OSHA, and state leave laws as they relate to occupational injuries.
Physical Requirements:
- Ability to sit at a desk to work on a computer for an extended period of time.

- Ability to grip, reach, and pinch with arms and hands frequently.
- Ability to bend and twist occasionally.
- Ability to work in a constant state of alertness and safe manner.
