About this role

Responsibilities

 

This position is responsible for performing highly specialized professional accounting work for the Division of Undergraduate Studies (UGS) by compiling, reviewing, monitoring and reconciling financial data and processing a variety of fiscal transactions. 

  • Responsible for highly specialized professional accounting work for the Division of Undergraduate Studies (UGS). Serves as the primary fiscal support for the Academic Center for Excellence (ACE), Office of Retention, Office of CoreFSU, and Living-Learning Communities (LLCs), and other departments or programs as needed. Processes requisitions, purchase orders, P-Card purchases, ePRFs, and contracts, as well as individual and group travel. Utilizes FSU Travel Systems and T-Card transactions to process travel and ensures travel requests and expenses are processed timely and in accordance with State and University policies and procedures. Attends relevant training and Financial Representative meetings and provides backup support to other departments within UGS as needed.
  • Responsible for the accurate tracking, maintenance, and reconciliation of departmental accounts and ledgers. Compiles and analyzes financial reports, including departmental ledger reviews and DOL submissions, and interprets and communicates policies to provide recommendations and guidance to management, faculty, staff, and students. Ensures compliance with GAAP and federal, state, and University policies and procedures by monitoring transactional processes, maintaining internal controls, and reviewing financial activity. Advises and trains other fiscal support positions, analyzes financial trends, and prepares reports, including internal budgeting spreadsheets, to assist the Associate Director and Business Manager with budget preparation and development.
  • Provides P-card support by monitoring transactions weekly and proxying assigned card holder charges. Performs the monthly P-card reconciliation's for assigned cards ensuring that adequate supporting documentation is attached for each purchase and transactions are coded timely and accurately with the appropriate accounting information, description and follows State and University policies and procedures.
  • Serves as a Facilities Liaison and Property Custodian for the Division of Undergraduate Studies ensuring University and Division guidelines are followed; this includes property acquisitions and transfers, inventory including but not limited to computers, assisting with office moves, space renovations, equipment use, and maintaining all property files for the Division.
  • Processes scholarship requests for the Division of Undergraduate Studies FSU Foundation accounts and maintains files. Ensures funds are distributed timely and are in compliance with University and donor requirements.

Qualifications

 

A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.)

Preferred Qualifications

 

The ideal candidate will be proficient in Microsoft Office, particularly Excel, and possess strong written and verbal communication skills. Candidates should demonstrate excellent customer service abilities, sound critical thinking skills, and the capacity to prioritize and organize multiple tasks effectively while maintaining accuracy, professionalism, and attention to deadlines.
