Administrative Assisstant - ProGreen

Key Responsibilities

Lead & Customer Support

• Manage incoming calls and inquiries through HubSpot, Podium, Yelp, and email, routing leads to the appropriate sales representative.
• Follow up on hot leads and completed projects, documenting activity and escalating customer concerns as needed.
• Coordinate turf sample requests and respond to customer reviews.

HubSpot, Invoicing & Accounts Receivable

• Maintain accurate customer, lead, invoice, and payment records in HubSpot and NetSuite.
• Create invoices, apply payments, process deposits, and follow up on past-due accounts.
• Review daily lockbox activity and payment documentation, resolving discrepancies with sales, operations, and accounting.

Qualifications

• High school diploma or equivalent required.
• Administrative, customer service, sales support, or accounts receivable experience preferred.
• HubSpot and NetSuite experience strongly preferred.
• Proficiency in Microsoft Outlook, Excel, and Word.
• Strong communication, organization, attention to detail, and follow-through.
• Ability to manage multiple priorities and confidential customer and financial information.

Measures of Success

• Customer inquiries and leads are handled and routed promptly.
• Customer, invoice, and payment records remain accurate and current.
• Invoices, payments, deposits, and past-due accounts are processed and followed up on consistently.
• Customer follow-ups, reviews, and concerns are handled in a timely manner.
