THE POSITION
As an Administrative Assistant 1 with the Board of Pardons, you will be part of a committed team that helps applicants move thorough Pennsylvania’s clemency process. DESCRIPTION OF WORK
This position participates in the overall workflow of clemency application processing by reviewing information, communicating consistently, and maintaining accurate records. Work directly supports the Board’s ability to carry out its decision making responsibilities. As an Administrative Assistant 1, you will perform the following duties:
- Application Review: Examine clemency applications, identify missing or incomplete information, and ensure required documentation and notifications are completed
- Applicant Support: Communicate with applicants and their representatives to provide clear guidance about procedures, policies, and possible outcomes
- Record Utilization: File applications in the Board’s recordkeeping system; maintain certification and access to secure systems for criminal history and related records
- Information Gathering: Communicate with court, corrections, law enforcement, and other agencies to obtain all information needed to file applications and prepare reports
- Case Preparation: Help review investigative reports, assemble case materials for merit review, and write and proofread analysis reports
- Decision Processing: Assist with the entry of official decisions and with generating and sending notifications and memos to all interested parties

Work Schedule and Additional Information:
- Full-time employment, 37.5 hours per week
- Work hours are 8:30 AM to 4:30 PM, Monday - Friday, with a 30-minute lunch.
- Telework: You will not have the option to telework in this position.
- Salary: In some cases, the starting salary may be non-negotiable.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY
QUALIFICATIONS
Minimum Experience and Training Requirements:
- Such training as may have been gained through graduation from a four year college or university or any equivalent combination of experience and training.
Additional Requirements:
- You must have one or more years of experience in each of the following areas:
- Reviewing processes and procedures within an office setting.
- Entering and tracking data within a website/database.
- The maintenance and retention of records.
- Reviewing documentation received from outside organization to ensure accuracy.
- Community outreach.
- You must be able to perform essential job functions.
Legal Requirements:
- You must pass a background investigation and meet Criminal Justice Information Services (CJIS) compliance requirements.
This position is subject to the provisions of a collective bargaining agreement or memorandum of understanding.
