Job Description

We are seeking a detail-oriented and personable Administrative Assistant II to join our Marshal’s Office team. In this multi-function role, you will provide essential HR support, mail room duties, and purchasing duties while also keeping day-to-day office operations running smoothly. HR Responsibilities:

  • Assist with Human Resource duties
  • Support employee onboarding and offboarding processes
  • Maintain accurate and confidential employee records in the Axiom Pro system
  • Assist in administering employee benefits programs and responding to related inquiries
  • Help coordinate performance review cycles and track completion status
  • Support compliance efforts by maintaining up-to-date knowledge of labor laws and company policies
  • Respond to general HR inquiries from employees with professionalism and discretion

Administrative Duties:

  • Manage calendars, schedule meetings, and coordinate travel arrangements for Judges and staff
  • Handle incoming calls, emails, and correspondence, routing items to the appropriate team members
  • Maintain organized filing systems (physical and digital) for HR documents and office records
  • Order and manage office supplies, vendor relationships, and facility requests
  • Coordinate logistics for interviews, onboarding sessions
  • Serve as the first point of contact for visitors and employees of the Marshal’s office
  • Coordinate office and workstation setup for new hires, including equipment provisioning, desk configuration, and access credentials in collaboration with IT
  • Research, evaluate, and procure office supplies, equipment, and services — obtaining quotes, comparing vendors, and managing purchase orders within approved budgets
  • Track purchasing activity and maintain a purchasing log to ensure cost accountability and policy compliance

Qualifications & Requirements:

  • 1–3 years of experience in an HR or administrative support role
  • Familiarity with People First platform a plus
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong organizational skills with exceptional attention to detail
  • Excellent written and verbal communication skills
  • Ability to handle confidential information with integrity and discretion
  • Self-starter with the ability to manage multiple priorities and meet deadlines
