Join the administrative backbone of the Louisiana Department of Health’s fiscal operations and help keep a complex division running smoothly and efficiently! In this dynamic role, you’ll coordinate critical personnel processes, oversee payroll and timekeeping accuracy, manage purchasing and property functions, and serve as the go-to resource for administrative support across multiple fiscal sections.

As the central liaison between staff, leadership, Human Resources, procurement, and IT, you’ll ensure that hiring, onboarding, purchasing, inventory, and workflow processes are completed accurately, on time, and in full compliance with state and departmental requirements. Position Duties

Three years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties:

  • Coordinates personnel processes for the division, including position management, hiring actions, onboarding, separations, and employee records, ensuring compliance with Civil Service and departmental requirements.
  • Serves as primary point of contact for administrative personnel matters and coordinates with Human Resources to resolve issues and ensure timely processing.
  • Manages payroll and timekeeping coordination for the division, including monitoring time entry, reviewing reports, and ensuring accuracy and compliance with payroll deadlines.
  • Coordinates procurement and purchasing activities, including P-card transactions, purchase requests, vendor coordination, and compliance with state purchasing policies.
  • Manages property and inventory functions for the division, including tracking equipment, coordinating IT and telecommunications requests, and maintaining inventory records.
  • Coordinates administrative workflows across fiscal sections to ensure timely completion of operational tasks and alignment with division priorities.
  • Serves as liaison between fiscal staff and administrative support functions to facilitate communication and resolve administrative issues.
  • Maintains and monitors administrative records, reports, and documentation required for compliance with internal policies and external audit requirements.
  • Coordinates onboarding, offboarding, and staff transitions, ensuring all administrative requirements are completed.
  • Supports implementation of administrative policies and procedures and ensures staff awareness of administrative requirements.
  • Provides functional coordination of administrative support staff to ensure consistent execution of administrative processes across the division.
