Surplus & Recycling is seeking a dependable, service-oriented professional to support our daily operations As our front desk Administrative Support Assistant, you will often be the very first person visitors, state partners, and stakeholders meet, speak with, or hear from. About the Program: This position is with the Office of Administration, Division of General Services, supporting Surplus & Recycling. Our team maximizes state resources through the reuse, transfer, recycling, and public auction of excess state and federal property. The front desk connects every part of this mission—interacting daily with state agencies, eligible non-profit and municipal organizations, vendors, and members of the public.
The salary indicated represents a base pay rate. If the individual selected or the position is eligible for a pay differential (e.g., shift, security, or years of service), it will be added to the total compensation in your paycheck. A pay differential does not raise your base pay.
Responsibilities - What you’ll do
- First Impressions & Great Service: Serve as the welcoming first point of contact for Surplus & Recycling, creating a courteous, professional experience for visitors, callers, and email correspondents.
- Communications Coordination: Manage incoming and outgoing mail, phone calls, and shared inboxes. Listen carefully, provide accurate guidance, and connect visitors, state partners, stakeholders with the appropriate team member or resource.
- Account & Record Management: Maintain accurate, up-to-date customer account records by logging activity and ensuring compliance with established program standards and state policies.
- Data & Reporting Support: Gather, compile, and review data for administrative and operational reports, ensuring accuracy, completeness, and consistency before distribution.
- Follow-Through & Problem Solving: Deliver prompt, solutions-oriented service across all channels, providing clear next steps so visitors, state partners, and stakeholders always know what to expect.
- Team Operational Support: Partner closely with team members across Surplus & Recycling on daily coordination, special administrative tasks, and workload coverage during peak periods or shifting priorities.
- Compliance Oversight: Monitor compliance requirements and documentation in accordance with state and federal program rules.
- Workplace Engagement: Foster a respectful, service-oriented environment by communicating clearly, exercising discretion, and elevating sensitive issues or questions appropriately.
Qualifications - All you need for success
- Integrity & Professionalism: Proven ability to exercise good judgment, maintain confidentiality, and build constructive relationships with diverse stakeholders, team members, and the public.
- Communication Skills: Strong verbal and written communication skills, paired with a commitment to patient, respectful service—even during busy periods or complex interactions.
- Organization & Detail Orientation: Demonstrated ability to prioritize multiple tasks, track details accurately, and follow commitments through to completion.
- Initiative & Teamwork: Ability to work independently on core tasks while knowing when to consult leadership or collaborate with colleagues.
- Technical Proficiency: Working knowledge of computer software including Microsoft Word, Excel, and Outlook.
- Experience & Education: Six (6) or more months of office support or customer service experience, and possession of a high school diploma or equivalent. (Relevant education or experience substitutions may be considered.)
- Reliability: Consistent attendance, strong work ethic, attention to detail, and enthusiasm for learning and supporting team goals.
