THIS POSITION REQUIRES FULL-TIME, ON-SITE PRESENCE IN SANTA FE.

The Department of Finance and Administration (DFA) provides budget, financial, and administrative oversight and support across New Mexico state government. The Local Government Division (LGD) supports municipalities, counties, and special districts statewide through budget and financial oversight, legislative grant management, E-911 and Local DWI program administration, and financial capacity development. LGD also provides administrative support to several boards and commissions administratively attached to the division.

Why does the job exist?

LGD administers several boards and commissions whose members are appointed by the Governor, including the New Mexico Acequia Commission, Land Grant Council, Civil Legal Services Commission, and Municipal Boundary Commission. This position exists to provide these bodies with consistent, professional administrative support so they can carry out their statutory duties, conduct business in compliance with the Open Meetings Act, and maintain accurate public records. The position also manages day-to-day office operations for the division, ensuring LGD runs efficiently and its boards, commissions, and staff are well supported.

How does it get done?

Serve as the primary administrative coordinator for Governor-appointed boards and commissions administered by LGD. Schedule and publicly notice meetings in compliance with the Open Meetings Act; prepare agendas, meeting packets, and correspondence; record and maintain minutes and official records. Serve as liaison between commission members, LGD leadership, contractors, legal counsel, and partner agencies. Support onboarding of new appointees and track membership, terms, and vacancies. Monitor and report on board and commission budgets, contracts, and payment requests. Serve as the division's point of contact for Inspection of Public Records Act (IPRA) requests, coordinating record searches and timely responses with DFA's records custodian. Manage division office operations, including supply ordering and inventory, records retention, and contact list management.

Who are the customers?

Members of the boards and commissions attached to LGD, their contractors and partners, and the public attending commission meetings; LGD leadership and staff across the division's five bureaus; other DFA divisions; and local government officials statewide.

Ideal Candidate

Highly organized and detail-oriented, with experience supporting boards, commissions, or public meetings, preferably including Open Meetings Act compliance. Strong written communication skills, including preparing agendas, correspondence, and accurate minutes. Able to manage multiple deadlines across several bodies at once. Experience with budget and contract tracking, records management, and Microsoft 365 tools such as SharePoint, Outlook, and Teams. Professional, discreet, and comfortable working with appointed officials, community members, and state agency staff.

Minimum Qualification

Associate Degree in Business Administration, Public Administration, or Accounting and one (1) year of directly related job experience in the areas of office administration, budgeting, purchasing, finance, accounting, auditing, cash management, contract management, and/or in the procedures of business and management principles involved in strategic planning. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling three (3) years may substitute for the required education and experience.

Employment Requirements

State issued ID or Driver's License.
Pre-employment criminal background check is required, and employment offer will not be extended prior to results.

Working Conditions

Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some in-state travel may be required to attend board and commission meetings, which may occasionally be held outside regular business hours.
