    CAEOP Substitute Secretary

    Job Description

    Reports to: Principal and/or District Administrator

    Status: Substitute / On-Call

    Purpose: The Substitute Secretary provides temporary administrative and clerical support to assist with the efficient operation of a school or district office during the absence of regular office staff. The position provides support to administrators, staff, students, families, and the public.

     

    Essential Functions:

    1. Provide general administrative and clerical support, including answering phones, taking messages, greeting visitors, preparing correspondence, filing, copying, and maintaining office records.
    2. Serve as a welcoming and professional point of contact for students, families, staff, visitors, and the public.
    3. Follow building security procedures, including greeting, identifying, and admitting visitors.
    4. Maintain confidentiality of student, employee, family, and district information.
    5. Assist with student attendance, enrollment, records, scheduling, and other student information processes as assigned.
    6. Assist with substitute coordination, employee absences, timekeeping, payroll, and other office processes as assigned.
    7. Assist with preparing reports, correspondence, forms, school communications, and other required documentation.
    8. Receive and process payments, fees, supplies, mail, and deliveries as assigned, following district procedures.
    9. Assist with school activities, meetings, testing, safety procedures, and other building events as assigned.
    10. Learn and follow established building and district procedures and adapt to the needs of different schools and offices.
    11. Provide coverage and assistance for other office or support staff as needed.
    12. Other related duties as assigned by the Principal or District Administrator for the successful operations of the school and district.

    Professional Qualifications:

    1. High school diploma or equivalent required. Post high school education or administrative support training preferred.
    2. Previous secretarial, clerical, customer service, or administrative support experience,  preferably in an educational environment.
    3. Ability to use multiple forms of technology to include MS Office Suite, Google Suite, Outlook, Frontline Skyward/Qmlativ and InTouch.
    4. Ability to assist parents, staff, and the community with questions or information related to the school and district.
    5. Possess excellent writing and editing skills.
    6. Maintain current First Aid/CPR certificate as well as other district health and safety trainings. 

     

    Work Environment:

    The usual and customary methods of performing the job's functions require the following physical demands: Generally, the job requires 50% sitting, 30% walking, and 20% standing.  The job is performed in a generally clean and healthy environment.

    Benefits

    School Employee Benefit Board (SEBB) Eligibility determination: All eligibility determinations are based on rules in Chapters 182-30 and 182-31 of the Washington Administrative Code (WAC). Substitutes can become benefit eligible after 2 consecutive years of working 630 hours or more, and be anticipated to work 630 hours going forward. SEBB benefits include medical, vision, dental, long-term disability and life insurance. Supplemental coverages are also available. 

    Retirement Eligibility determination: In order to be eligible for retirement as a substitute, the minimum eligibility requirement for SERS retirement plan must work at least 5 months of 70 or more hours of compensated employment for 2 consecutive years. It is the employee's responsibility to monitor and track compensated employment hours for eligibility.
