Why does the job exist?
This position provides accountability, oversight and direction to the purchasing/accounts payable unit and support services and interacts with all divisions fiscal staff to ensure all complex purchase orders and payment vouchers are in compliance with Department of Finance and Administration and State Purchasing requirements as well as compliance with internal policies and procedures. Responsible for supervising and approving the processing of requisitions, purchase documents, and payment vouchers to ensure compliance with all applicable requirements. Responsible for research and problem solving related to problematic requisitions, purchase documents, and payment voucher: responsible for reporting any issues related to requisitions, purchase documents and payment vouchers; responsible for tracking orphan transactions in the AP module in SHARE and determine solutions for their correction; responsible for identification, approval and management of the canceled warrant process and journal vouchers.
How does it get done?
Audit, approve or reject and process purchase documents including contract documents. Oversight of the processing of Purchase Orders and Payment Vouchers and other tasks assigned for Program Support. Also includes management of the W-9s and contact with vendors.
Audit travel documents for compliance with internal policies and procedures and the policies and procedures of regulating agencies. Process all advances and recoupments.
Who are the customers?
Ideal Candidate
-Experience in Accounting and/or Finance.
-Proficient in Microsoft Office Suite.
-Strong verbal and written communication skills.
-Experience with SHARE Financial.
