DESCRIPTION OF WORK

This position provides clerical assistance to several departments within the Pennsylvania Soldiers and Sailors Home to support organized, accurate, and efficient daily operations. It includes preparing documents, managing communication, maintaining files, and assisting managers with essential administrative tasks. As a Clerical Assistant 2, you will perform the following duties:

  • Document Preparation: Prepare drafts, final documents, and reports with accurate grammar and formatting
  • Department Support: Assist multiple departments by typing policies, organizing information, and gathering needed data
  • File Maintenance: Maintain and update records relating to residents, staff, inventory, correspondence, and policies
  • Meeting Coordination: Schedule meeting rooms and arrange needed equipment, supplies, and accommodations
  • Communication Handling: Screen calls and visitors and direct inquiries to the correct staff
  • Mail Processing: Receive, sort, and distribute mail and newspapers to appropriate units and residents

Work Schedule and Additional Information:
  • Full-time employment, 37.5 hours per week.
  • Work hours are 9:00am to 5:00pm, Monday-Friday, with a 30-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary: In some cases, the starting salary may be non-negotiable.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

Organization or Location Restrictions: 

  • This posting is restricted to Department of Military & Veterans Affairs, Pennsylvania Soldier & Sailors Home employees only.

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Six months as a Clerical Assistant 1 (Commonwealth job); or
  • Graduation from high school; or
  • An equivalent combination of experience and training.

Additional Requirements:

  • You must be able to perform essential job functions.

Preferred Qualifications (not required):
  • Previous experience working in a long-term care or large healthcare facility
  • Previous clerical experience
  • Previous experience working in an office setting as a clerk or personal assistant
  • Previous experience working in SAP or SRM entering shopping carts/requisitions

Legal Requirements:
  • This position falls under the provisions of the Older Adult Protective Services Act.
    • Under the Act, a conditional offer of employment will require submission and approval of satisfactory criminal history reports, including but not limited to, PA State Police and FBI clearance.
  • A conditional offer of employment will require satisfactory completion of a medical examination.
