About this role
The Archdiocese of St. Louis provides interpreting, translation, and related educational services that bridge cultural and linguistic divides. The HR Assistant supports workforce compliance, personnel records, onboarding, recruitment, scheduling, documentation tracking, and routine human resources activities.
What you'll do:
- Maintain accurate compliance records and tracking sheets for employees and independent contractors, including training, health screenings, facility requirements, background checks, and document expiration dates
- Review submitted compliance documents for completeness, record verified information in authorized systems, follow up on missing or expiring requirements
- Create, update, review, and securely maintain personnel and independent-contractor files while protecting confidential and restricted information
- Maintain workforce headcount records and assist with routine monthly HR activity and compliance reports
- Schedule meetings, orientations, onboarding appointments, assessments, and training sessions; communicate details, prepare materials, track attendance, and maintain completion records
- Support recruitment and onboarding by communicating with candidates, scheduling interviews or assessments, collecting required documents, and organizing information for HR review and processing
- Monitor assigned HR communication channels, respond to routine questions within the position’s authority, and direct sensitive, policy-related, or unresolved matters to the HR Coordinator
- Provide other administrative, tracking, scheduling, and compliance support as needed or assigned by the HR Coordinator or organizational leadership
What they're looking for:
- High school diploma or equivalent required
- Basic working knowledge of Microsoft Office and the ability to learn Smartsheet, Schedule Interpreter, and other HR or compliance systems
- Strong organization, follow-through, attention to detail, and ability to manage multiple deadlines
- Professional verbal and written communication skills in English; additional language skills are valued but not required unless designated for the position
- Sound judgment when handling confidential and sensitive information
- Ability to follow established procedures, maintain accurate records, identify missing information, and escalate concerns appropriately
- Ability to work respectfully and effectively with people from diverse cultural and professional backgrounds
- Dependability, responsiveness, customer-service orientation, and ability to work both independently and collaboratively
- Relevant coursework or an associate degree in human resources, business administration, or a related field preferred
- Previous administrative, record management, customer service, onboarding, or human resources experience preferred but not required
- Experience working with culturally and linguistically diverse individuals is preferred
