POSITION SUMMARY

 

This position coordinates and directs driver activities and assignments to ensure the safe movements of crude and finished products from terminals and refinery. Accountabilities include scheduling drivers and equipment to meet the needs of internal and external customers; maintaining a consistent level of quality customer service; efficiently scheduling for the movement of bulk liquids; providing drivers and equipment for emergency repairs within various business groups; scheduling equipment to meet Preventive Maintenance (PM) schedules and maintaining compliance with all regulatory and company procedures. This position will be required to work rotating shifts including weekends and holidays.

 

EDUCATION REQUIREMENTS

 

  • High School Diploma or equivalent required

 

EXPERIENCE REQUIREMENTS

 

  • 5+ years of experience required in road/highway transport dispatching and/or drivers supervision preferred. 
  • Prior experience working with a Transportation Management System (TMS) preferred.
  • Knowledge of Department of Transportation (DOT) Regulations, including Hours of Service preferred.
  • Demonstrated knowledge of the use of Telematic System. 
  • Demonstrated knowledge of principles and processes for providing customer services, which includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Proficient in Outlook, Excel, and Word.
  • Demonstrated ability to prioritize and multi-task. 
  • Ability to work in a fast-paced team setting while applying and adhering to detailed standards and evaluation of customer satisfaction.
  • Proficient in Outlook, Excel, and Word.
  • Demonstrated ability with using telephones and computers to efficiently schedule or dispatch drivers and equipment to appropriate locations according to customer requests, specifications, or needs.
  • Ability to schedule and monitor drivers to allow for compliance with DOT regulations and adherence to Hours-of- Service regulations.
  • Fluent in English, oral and written required. 

 

MAJOR ACCOUNTABILITIES

 

  • Receive and manage orders via email, phone call, voice mail, and other means to enter orders into a Transportation Management System (TMS).
  • Provide or offer a confirmation number to customers for each order entered.
  • Determining and efficiently scheduling types and amounts of equipment and personnel to accommodate the daily intake of orders.
  • Process and maintain dispatch department documents, files, and information.
  • Maintain accurate TMS system information pertaining to dispatch locations.
  • Maintain communications with customers concerning order status.
  • Advising personnel of traffic problems, such as construction areas, accidents, congestion, weather conditions, or other hazards.
  • Perform all other dispatching duties as assigned by the management team. 
  • Regular communication with supervisor progress, concerns, and questions.
  • Ability to adjust schedule to meet business needs.
