About this role
Your Role
The Duals Outreach team is primarily responsible for planning, organizing, and executing community-based events for the dual’s population in the Los Angeles and San Diego Counties. The Duals Administrative Support - Sales Coordination, Intermediate will report to the Senior Manager, Duals Outreach and Events. This role is highly detail-oriented and administrative, focusing on calendar management, reporting, team coordination, and operational support. The ideal candidate is highly organized, data-savvy, and comfortable working in a fast-paced, community-focused environment.

Responsibilities
Your Work
In this role, you will:
- Manage and maintain the outreach event calendar across multiple communities and field team members
- Coordinate logistics for community events, ensuring alignment with outreach goals and timelines
- Collaborate with the outreach team to track upcoming events, deadlines, and deliverables
- Ensure all event details are accurately documented and communicated to internal stakeholders and develop and maintain Excel-based trackers, dashboards, and reports, including generating regular reports, related to event activity to support leadership updates and team planning
- Create and maintain standardized documents, templates, and resources for field teams
- Develop tools to improve organization and efficiency for team members in the field and continuously identify opportunities to improve workflows and team effectiveness
- Ensure all outreach materials and documentation are current, accessible, and easy to use, assist in developing training materials and processing documentation
- Design and maintain job aids and quick-reference guides to support field team success
- Assist in scheduling and coordination of phone coverage during high-volume/peak periods
- Support staffing plans to ensure adequate coverage and responsiveness and help monitor workload and adjust scheduling needs based on demand
Qualifications
Your Knowledge and Experience
- Requires a minimum of 3 years of experience
- Requires vocational or technical education in addition to prior work experience
- Requires basic job knowledge of systems and procedures obtained through prior work experience or education
- Requires experience supporting sales or/and events in a fast paced environment
- Requires strong proficiency in Microsoft Excel
- Requires experience managing multiple projects, i.e. event coordination or sales activities, and deadlines simultaneously
