Job Summary:
The Employee Relations Administrator provides administrative, coordination, records management, and document control support to the Employee Relations team. The role coordinates department activities, maintains confidential employee relations records, prepares reports and presentations, and helps ensure department documents are accurate, organized, controlled, retained, and accessible in accordance with company requirements. #LI-TH1
Major Responsibilities:
Advanced Administrative & Department Coordination
- Provide high-level administrative support to the Employee Relations team, including calendar coordination, meeting scheduling, and follow-up tracking.
- Prepare and distribute professional correspondence, presentations, reports, meeting agendas, minutes, action item trackers, and other department materials.
- Coordinate department meetings, workshops, training sessions, and team activities, including logistics, materials, attendee communications, and post-meeting actions.
- Assist with invoice processing, purchase requests, onboarding logistics, supplies, and general office administration as needed.
- Develop, maintain, and improve department templates, trackers, standard work instructions, administrative procedures, and workflow tools.
Document Control & Records Management
- Document control coordinator for Employee Relations materials, including policies, procedures, standards, forms, templates, guides, investigation support documents, and department records.
- Maintain document registers, revision histories, approval records, review cycles, naming conventions and controlled copies in the document management system.
- Organize and maintain electronic and physical employee relations records in SAP, personnel files, case materials, and supporting documentation.
- Perform periodic quality checks of files and repositories to identify missing documentation, duplicate records, incorrect access permissions, outdated versions, or inconsistent filing practices.
Education and Experience Requirements:
- Requires a University Hire with 1-2 years of experience or 5-6 years of relevant work experience in lieu of degree.
Required Knowledge and Skills:
- Sound judgment, discretion and strong attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent verbal and written communication skills
- Excellent prioritization, organizational skills and attention to detail.
- Handle sensitive and confidential information with professionalism and discretion.
- Proficient with Microsoft Office Suite or related software.
- Preference to have an understanding of HR/ER laws, regulations, and guidelines.
