Job Description
Do you enjoy bringing people together through well-executed events and exceptional service? As a University Event Coordinator, you will play a key role in supporting large-scale university events that foster collaboration, innovation, and connection across the country. Working alongside a dynamic and supportive team, you will help coordinate logistics, communications, registration, and on-site operations that contribute to memorable experiences for thousands of attendees.
What You'll Do
- Manage a shared team inbox, ensuring timely and professional responses to event-related calls, emails, and inquiries.
- Coordinate event registration and RSVP processes, maintain reporting, and support event communications.
- Assist event planners with vendor coordination, event logistics, and operational planning.
- Track event-related expenses, submit invoices, request purchase orders, and follow up on payments as needed.
- Take ownership of specialized event functions and processes that support multiple events throughout the year.
- Provide on-site event support, including logistical coordination and attendee assistance during events.
- Partner with team members on event registration, catering, travel arrangements, faculty support, and other event-related activities.
What You'll Bring
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, with a professional and customer-focused approach.
- Proficiency with Microsoft Office applications and cloud-based collaboration tools such as SharePoint.
- Experience using event registration software.
- Ability to work independently while collaborating effectively within a team environment.
- Strong problem-solving skills and a proactive, can-do attitude.
- High school diploma required.
- 2+ years of office experience.
- 1+ year of event-related experience.
Bonus Points
- Bachelor's Degree preferred.
- Previous customer service experience, particularly in event-related or office environments.
- Experience supporting large-scale events or multi-event programs.
- Familiarity with vendor coordination and event budgeting processes.
Experience in Lieu of Education
Physical Requirements
- Ability to sit or stand for extended periods while performing desk-based and event-related responsibilities.
- Ability to lift and carry up to 25 pounds as part of event setup and support activities.
- Availability to work evenings and weekends as required for event support.

Position & Application Details
