Responsibilities of the Executive Coordinator for Presidential Operations and Special Projects:
- Provides executive, administrative, communication, and operational support to the President and President's Office. Manages scheduling, meetings, travel, correspondence, budgets, events, and special projects. Serves as a liaison to the Board of Trustees, Governor's Office, legislative offices, Foundation, senior leadership, and other stakeholders. Ensures efficient, timely, and confidential information flow, coordinates action items and priorities, and supports school-wide initiatives.
- Program Administration and Event Logistics: Manages program schedules, deadlines, and logistics for research, enrichment, outreach, competitions, workshops, and events, coordinating facilities, transportation, technology, supplies, and participant needs.
- Global Learning, Travel, and Partnership Administration: Coordinates domestic and international program travel, documentation, visiting groups, host families, partner communications, agreements, records, deadlines, and logistics in collaboration with appropriate offices.
- Robotics and Competitive Program Operations: Coordinates administrative and logistical operations for robotics and competitive programs, including registrations, travel, purchasing, inventory, facilities, documentation, and coordination with key stakeholders. Technical leadership, coaching, and student supervision remain with faculty and program leaders.
- Administrative Systems, Financial Coordination, Data, Reporting, and Compliance: Maintains program records and administrative systems, tracks budgets and financial transactions, supports reporting and grants, and ensures required travel, safety, privacy, and compliance documentation.
- Perform other duties as assigned.
Position Duties
A bachelor's degree and relevant experience in executive or administrative support, program or project coordination, office operations, business or public administration, even planning, travel coordination, or a related area. Equivalent education and directly related experience may be considered. Experience should demonstrate the ability to organize complex work, maintain detailed records, communicate with varied stakeholders, exercise discretion, and meet deadlines with limited day to day supervision.
Additional Requirements:
- Occasional evening and weekend work is required in support of school events, programs, and special initiatives.
