About this role
Allocate is building an operating system for private markets that enables wealth advisors and their clients to access, transact in, and manage private market investments. The Fund Operations Analyst will manage daily fund lifecycle operations across the platform, including capital calls, wires, reconciliations, expenses, credit facilities, and financial reporting. The role will also document workflows and partner with Product and Engineering to automate and scale operational processes.
What you'll do:
- Prepare capital call notices across the fund portfolio and route them for review and approval
- Set up wires and transfers across our banking platforms, including capital call fundings and distributions to limited and general partners
- Reconcile daily partner activity across bank accounts, flag anything that does not tie, and support quarterly cash queries from the fund administrator and auditors
- Own fund expense reconciliation. Code and allocate incoming invoices to the correct fund, series, and period, maintain and true up accruals, reconcile expenses against bank activity and the administrator’s books, and carry clean support into quarterly review and the annual audit
- Prepare credit facility drawdowns ahead of capital call deadlines, track repayments and outstanding balances, and pull together quarterly compliance reporting
- Own the core operational trackers covering investment activity, capital call payments, distributions, credit facilities, tax document status, and investor commitment records
- Review quarterly fund financials against source workpapers and tie the statements to the underlying schedules before anything goes out
- Assist in opening bank and brokerage accounts for new funds, including compiling the required entity documentation and maintaining account records
- Document every workflow you touch and create new processes for those that don’t currently exist. If it is not written down, it cannot be audited, operationalized, improved, or automated
- Partner with Product and Engineering to push repeatable operational logic into the platform rather than keeping it in spreadsheets
- Build the automation. Templated notice generation, rules-based payment matching, invoice intake and expense allocation, self-updating accrual roll forwards, scheduled reconciliations, automatic file routing, and alerting on exceptions instead of manual daily checks
- Replace manual tracker updates with queries and dashboards pulled from the source systems
What they're looking for:
- 1 to 3 years of experience in fund operations, fund administration, treasury, audit, or a related finance function, with a working understanding of private fund mechanics. Capital calls, distributions, fund expenses, capital accounts, and investor reporting
- Real reconciliation experience, and precision under deadline pressure. You have owned an expense or cash reconciliation before, you are comfortable explaining a variance to a reviewer, and you know that wire cutoffs and capital call dates do not move
- Process minded by instinct, and already using AI to take repetitive work off your plate. You write things down, you notice when the same problem shows up twice, and you fix the cause instead of the instance
- Strong communicator. You coordinate clearly with fund administrators, banks, auditors, and internal teams, and you keep people updated without being asked
- Growth-oriented and energized by a scaling environment. You want to grow with the firm and take on more ownership as the fund count and team expand

- Experience working alongside a third-party fund administrator, reviewing and challenging their output rather than producing it yourself
- Treasury or payment operations background. Working in a bank portal with dual approval workflows, wire cutoffs, and payment controls
- Time in an early-stage or high-growth environment where the process did not exist yet and you had to build it
