Position Summary:
This position exists to provide office support to the Radiology, Ultrasound, Advanced Imaging, and Central Scheduling departments of the VTH by decision making affecting the manner and speed to complete tasks, exchanging, routing, or collecting information and operating office equipment to facilitate the work required. This position’s primary location will be under the Imaging Core of the VHS but will work closely with the Central Scheduling unit within the VTH. Radiology: 1) Provide administrative and technical support to the Veterinary Diagnostic Imaging (VDI) Section and Imaging Core; 2) Serve as one of the examination coordinators; 3) Coordinate/monitor procedure code and billing information; 4) Assist in the implementation and usage of the EMR for imaging purposes and Picture Archiving and Communication System (PACS); 5) Communicate and coordinate scheduling issues with students: 6) Provide excellent customer service by functioning as an interface for the section with the business office, Intern/Residents and staff, and computer services; 7) Process referral images, including creating orders and attaching imported images to patient accounts.
Central Scheduling: 1) Providing support for full-time central schedulers, particularly as PRN coverage on occasions when one or both full-time CS need assistance, with a primary focus on imaging needs due to being a fully integrated part of the VDI team 2) Organizes and directs changes to all schedules and requests due to cancellations or emergencies. 3) Coordinates requests from specialty services for surgical time, anesthesia time and complex imaging (VDI) time. Manages calendars for surgery, VDI and anesthesia requests. Prioritizes requests based on urgency and capacity. Communicates with clinicians, staff, and residents regarding calendar of use for VTH, TMI, and JFEH surgical/dental/imaging suites. Ensures accurate order entry into EMR for all associated services for each case request.
The employee in this position is designated as essential personnel and maybe required to report to work during times of campus closures for weather or other events when the decision to close campus is made by CSU Central Administration.

Essential Duties:
- Use PACS/EMR systems (VDI + CS) · Downloading, importing, and transferring various types of images and studies into the hospital PACS systems. This requires knowledge of several different software applications as well as coordinating the importing of studies in a timely manner as well as facilitating and maintaining consults. This duty also requires coordinating with several services across the VHS system to store necessary studies. For central scheduling, in depth and granular utilization of String Soft EMR to facilitate all scheduling needs.
- Schedule and Prioritize Appointments (VDI) · Schedules and prioritizes appointments with radiology technicians; resolves conflicts which arise in scheduling; coordinates several departments’ needs for service; provides information on the status of requests; maintain rapport with hospital personnel. Enters fees via computer for services rendered, makes modification of fees and coordinates with the businessoffice; ensures fees are modified as necessary to appropriately charge clients and compensate VDI Section for work performed; Directs and screens phone calls appropriately.
- Communicate and assist others with Departmental protocols · Preparation for and coordination of special procedures; reviewing and charging for afterhours procedures; processing of requests; answering questions concerning procedures and policies. Performs administrative tasks associated with research project exams and procedures (e.g., registration of research account information, tracking exams when performed, ensure proper billing and match imaging to orders).
- Use Software programs for administrative procedures (VDI) · Daily typing and computer projects, which include updating and using several different software programs; assists in the training and supervision of Radiology office student hourly employees for maximum efficiency; Workswith medical records personnel, the Picture Archiving and Communication System (PACS) Administrator, and radiologists to investigate and resolve inconsistent and/or incorrect data entry including but not limited to report identification data and report information. Daily utilization of Microsoft Teams for communication

Minimum Qualifications:
Minimum Education:
High School Diploma or GED
Minimum Experience:
Two (2) years working in an administrative setting.
Preferred Qualifications:
- Preferred experience with medical terminology and /or veterinary administrative work
- Medical assisting, Veterinary Sciences or a Technology-related field.
