About this role

Minnesota IT Services is the information technology agency for the State of Minnesota, partnering with state agencies to deliver secure and reliable technology solutions. The IT Office Operations Analyst supports administrative and operational efficiency for MNIT and the Department of Human Services by improving workflows, coordinating office resources, managing procurement and financial processes, maintaining records and shared content, and supporting managers and executives.

What you'll do:

  • Streamline office workflows, support division-wide initiatives, and drive continuous improvements in processes, documentation, and operational efficiency
  • Optimize administrative processes, manage office resources and equipment, oversee procurement and invoices, coordinate travel and supply needs, and maintain records and shared content across teams
  • Support the Chief Business Technology Directors, managers, supervisors, and staff across multiple divisions, providing executive-level operational insight, guidance, and administrative assistance
  • Represent MNIT at DHS on delegated activities, contribute to departmental policy and process implementation, and ensure accurate documentation, budget coordination, and support for multiple financial and administrative functions
  • Maintain shared sites, and facilitate effective communication channels
  • Provide administrative or operational support to managers, supervisors, or executives
  • Document, improve, and maintain administrative processes, procedures, or workflows
  • Process purchasing requests, review invoices, track expenses, or reconcile financial records
  • Coordinate multiple assignments with competing deadlines while maintaining accurate and organized records
  • Communicate clearly and effectively with employees, managers, candidates, customers, and vendors
  • Support office operations, including purchasing, supply management, travel coordination, and related administrative tasks
  • Conduct process mapping, workflow analysis, gap analysis, organizational studies, or process-improvement activities

What they're looking for:

  • Position requires a minimum of one (1) year of experience providing administrative or operational support to managers, supervisors, or executives
  • • Experience documenting, improving, and maintaining administrative processes, procedures, or workflows
  • • Experience processing purchasing requests, reviewing invoices, tracking expenses, or reconciling financial records
  • • Experience coordinating multiple assignments with competing deadlines while maintaining accurate and organized records
  • • Demonstrated ability to communicate clearly and effectively with employees, managers, candidates, customers, and vendors
  • • Advanced proficiency in Microsoft Office Suite (Outlook, Visio, Word, Excel, etc.) with proven experience supporting office operations, including purchasing, supply management, travel coordination, and related administrative tasks
  • • Demonstrated ability to communicate clearly and effectively in a manner that facilitates mutual understanding
  • • Customer-focused approach grounded in active listening, empathy, and solution-oriented problem-solving to deliver positive user experiences
  • • Experience conducting process mapping, workflow analysis, gap analysis, organizational studies, or process-improvement activities
  • • Experience developing or revising administrative policies, procedures, process maps, guidelines, forms, templates, or training materials
  • • Experience using purchasing, financial, customer-management, or service-request systems, such as SWIFT, EIOR, CRM, or ticketing systems
  • • Experience coordinating operational activities, including recruitment scheduling, employee onboarding and offboarding, workspace assignments, equipment, building access, office moves, safety planning, travel, or training
