Why does the job exist?
How does it get done?
- Lead the agency case intake process, including review and management of legal documents and other supporting documents
- Lead the case assignment process, including performing conflicts checks in the court statewide online case management system and the drafting of case assignment emails
- Organize and maintain the attorney only document repository site to ensure legal resources are current, relevant, and well-organized
- Support new staff attorneys in registering for and accessing available legal research tools
- Assist with bulk case reassignments, as needed, to support the continuity of legal representation
- Support the legal admin team by providing back up assistance, as needed - including monitoring, responding to inquiries email inbox, and taking initial complaints from clients and other stakeholders
- Provide general administrative support to the legal division director and others in the legal division, as requested
- Calendar onboarding trainings for newly hired legal division attorneys and staff, attorney lunch-and-learns, and other team meetings and events

Ideal Candidate
Additionally, the ideal candidate will have:
-Highly organized and detail oriented, especially with complex case and file management.
-Experienced in legal administrative support and/or working within a legal services environment.
-Highly skilled at Excel Spreadsheets, including their creation and use for data analysis
-Skilled at managing caseload tracking systems, digital filing, and document repositories.
-Strong written and verbal communicator, able to draft professional correspondence and memorandums.
-Comfortable coordinating among courts, agencies, attorneys, and internal teams.
-Tech savvy and able to learn new systems quickly, including case management platforms and SharePoint.
-Able to maintain confidentiality and handle sensitive information appropriately.
-Reliable, adaptable, and able to manage competing deadlines and shifting priorities.
-Proactive problem solver who can support process improvements and assist with onboarding/training.
-Professional, client focused, and capable of handling inquiries from clients and stakeholders with care.
