Job Description
POSITION OBJECTIVE
The Manager of Enrollment and Special Projects serves as a member of the Master of Science in Anesthesia (MSA) program's administrative leadership team and is responsible for leading the program's print and digital student recruitment efforts, supporting admissions activities, and advancing enrollment goals across the national MSA program network. The network currently consists of the primary campus in Cleveland, Ohio, and program location campuses in Austin, TX (including Lubbock and Dallas sites), Houston, Texas, and Washington, D.C., with the potential for future expansion to additional locations. The manager works with University Marketing and Communications (UMC) to detail distinctive program strengths and identify promising audiences for print and digital outreach. Once prospective candidates directly request more program information, the manager serves as a primary point of contact for answering questions, explaining the admissions process and otherwise inspiring candidates to apply and, if accepted, to enroll.
The manager serves as the program's marketing liaison and communications lead by developing and managing digital content - including the website, newsletter, and social media platforms - to enhance the program's brand and engage prospective students. In collaboration with UMC and Enrollment Management, the manager ensures consistent messaging across recruitment and marketing initiatives. This position coordinates the procurement and distribution of promotional materials for the MSA program network, manages webinars, and oversees the recruitment budget. During the Director of Admissions Operations' absence, the manager will assume the director's responsibilities and will handle in person recruitment and webinar presentations.
The manager participates in strategic discussions regarding the program's short- and longer-term challenges and opportunities and executes recruitment-related initiatives that the team develops to address both. This individual also works with administrative team members to establish and realize annual application and enrollment targets (quantitative and qualitative) for each campus and the network as a whole. In addition, the manager identifies, proposes and then manages special projects that the team endorses as valuable to advancing key network initiatives and goals.
ESSENTIAL FUNCTIONS
- As a member of the administrative leadership team, participate actively in discussions of emergent strategic issues as well as longer-term plans for the program's ongoing growth and development. Engage in more tactical conversations involving informational updates and decisions related to execution of program-related activities. Provide colleagues data, insights and recommendations to inform print and digital recruitment strategies and move prospective students from expressing interest in the program, to applying to the program, and then, if admitted, enrolling in the program. (10%)
- Consult regularly with the executive program director to reflect upon results and trends in applications, admissions and enrollment to inform development of goals regarding the size and composition of the applicant pool - as well as admitted and enrolled student pools (overall and with regard to individual campuses). Communicate goals with the administrative leadership team, detail own activities to meet them (e.g. coordinating print and digital recruitment campaigns, following-up with leads personally generated and yielded from marketing), and discuss ways that each member can contribute to realizing the goals for admissions and enrollment. (20%)
- Collaborate with University Marketing and Communications to inform its efforts to develop multi-channel print and digital recruitment campaigns that: (a) raise awareness of the MSA program among potential applicants, (b) highlight the program's most appealing and distinctive qualities; and (c) ultimately inspire them to engage directly to seek more information. Maintain ongoing communication with UMC to enable timely adjustments to message content and audience targeting that enhance the effectiveness of marketing outreach. Once potential students contact the program, begin one-on-one engagement, including providing additional information, answering questions, and connecting prospects with appropriate faculty and/or ambassadors. (20%)
- Support the MSA admissions process by reviewing applications, evaluating applicant qualifications, and providing recommendations regarding candidates selected for interviews. Participate in admissions committee discussions and decisions by providing applicant context, recruitment insights, and relevant information gathered throughout the recruitment and application process. Communicate with applicants regarding admissions requirements, timelines, and next steps; provide appropriate feedback to applicants; and support efforts to yield admitted students through timely and personalized engagement. Manage prospective student webinars, and in the director of admission operations¿ absence, serve as the lead presenter for webinars and in-person recruitment events. (20%)
- Build a network of MSA faculty, alumni and current student ambassadors to assist in recruitment and retention efforts, and enhance the program¿s reach, mission and vision. Set goals for the ambassador team and articulate the purpose of outreach based on strategic enrollment objectives, including but not limited to expanding representation, growing enrollment for specific campuses, building awareness, and increasing engagement. Train ambassadors on important program facts, program expectations, and effective tactics to engage prospective students across print and digital recruitment efforts. Coordinate ambassador attendance at recruitment events and assist in preparation of related presentations. (10%)
- In consultation with the executive program director, identify and execute special projects that support program priorities and digital and print recruitment strategies. These projects may include such efforts as: (1) develop strategies to establish continuing pipelines of qualified applicants through collaborations with national organizations such as the medical scribe network, the National Association of Advisors for the Health Professions, Association of American Medical Colleges, American Academy of Anesthesiologist Assistants, American Society of Anesthesiologists, and these organizations¿ regional and local chapters and offices; (2) assess space needs for existing campuses, campus relocations, and/or additions; (3) launch initiatives to create connection and shared identity among program campuses through such activities as coordinating livestream presentations of new student orientation activities, creating a network-wide student manual that elucidates policies and practices common to all campuses (while also acknowledging unique nature of each campus location), and facilitating interaction among faculty, staff, students and alumni from all campuses; (4) track recruitment initiatives and activities, benchmark recruitment initiatives and outcomes against peer and aspirant programs, and recommend adjustments to enhance the competitiveness of the university¿s MSA programs. (15%)

- Continue to learn about the anesthesiologist assistant profession by investigating the politics and legislation affecting the profession and reviewing resources available through the American Academy of Anesthesiologist Assistants and the American Society of Anesthesiologists. (<1%)

Department: Continuous contact with program leadership across the MSA network (in Cleveland, Houston, Washington DC, and Austin), and continuous contact with MSA Program faculty and staff to fulfill job responsibilities.
University: Continuous contact with program leadership across the School of Medicine, including graduate education leadership, associate/assistant deans, and department chairs. Frequent contact with School of Medicine faculty and staff, and with other recruiters on campus. Frequent contact with relevant University Marketing and Communications enrollment marketing staff. Regular contact with School of Graduate Studies for utilizing Hobsons Connect, and with School of Medicine executive director of enrollment management and strategic initiatives to update and collaborate on enrollment strategies. Occasional contact with Procurement and Distribution Services, Accounts Payable, UTech, Office of General Counsel, University Health and Counseling Services, security and facilities personnel, among others for the purpose of managing special projects.
External: Continuous contact with prospective students, alumni, and friends of the MSA Program for recruiting efforts. Frequent contact with national professional organizations (e.g. medical scribe network, American Academy of Anesthesiologist Assistants, Association of American Medical Colleges, American Society of Anesthesiologists, National Association of Advisors for the Health Professions), clinical partners, consultants, freelancers, public and private foundations, and other outside agencies for developing strategic partnerships. Regular contact with academic advisors, department chairs, and faculty at colleges and universities throughout the United States for the purpose of recruiting students. Occasional contact with peer programs for the purpose of professional collaboration.
Students: Continuous contact with current and prospective students to recruit, admit, retain, inform and advise. Regular contact with student interns to assign and supervise projects.
SUPERVISORY RESPONSIBILITIES
No direct supervision of staff at this time. Functional coordination of staff and project leadership across MSA program locations.
QUALIFICATIONS
Experience: Minimum of 3 years of progressive experience working with educational programs in a recruiting, admissions or equivalent role. Strategic planning experience preferred.
Education: Bachelor's degree required. Master's degree preferred.
REQUIRED SKILLS
- Comprehensive and detailed understanding of the Anesthesiologist Assistant educational programs, laws governing practice, and accreditation policies; demonstrated understanding preferred; must be able to acquire and apply knowledge of programs quickly.

Hybrid Eligibility
This position is eligible for hybrid work arrangement up to two remote days per week at the discretion of the department. New employees may begin a hybrid schedule upon approval from the supervisor, successful completion of an orientation period and signing the remote work checklist certification form.
