About the Department

The Meeting Concierge serves as the primary liaison between on-site clients, Conference and Event Services staff, college operations, and vendors. This highly visible role serves as the central point of contact for addressing client needs, coordinating event support, and responding to special requests, while delivering service excellence and ensuring a seamless, positive event experience.

Position Duties

1. Ensure that all meeting and event details are in place, from initial room setup to client departure, providing seamless support throughout the event.

2. Monitor event schedules to ensure services, staff, and resources are prepared and delivered according to client expectations.

3. Maintain a visible presence during key agenda activities, including client setup/teardown, attendee arrivals/departures, meeting/breakout start times, and meal periods, providing proactive assistance as needed.

4. Coordinate directional, buffet, and informational signage to enhance guest experience and ensure smooth flow of attendees.

5. Serve as the primary liaison between clients, Conference and Event Services staff, college operations, and vendors, facilitating communication and resolving issues promptly.

6. Enter work orders, track requests, and communicate day-of-event updates to ensure operational readiness.

7. Prepare and maintain up-to-date event information with agendas, banquet event orders (BEOs), diagrams, and other relevant documentation for each group.

8. Attend meetings to review upcoming events, confirm logistics, and communicate updates with staff and leadership.

9. Assist with the distribution of event schedules and updates to ensure all team members are informed and prepared.

10. Monitor inventory of event supplies, coordinate vendor orders, and assist with on-site setup and breakdown of equipment, materials, and resources.

11. Provide exceptional client service by anticipating needs, responding to requests, and ensuring all interactions reflect service excellence.

12. Perform other duties as assigned to support Conference and Event Services operations

Minimum Qualifications

A high school diploma or equivalent is required, along with one to three years of experience in hospitality, events, customer service, or a related field. Candidates should demonstrate strong interpersonal and communication skills with a customer-first mindset, as well as the ability to multitask and stay organized in a fast-paced environment. Basic proficiency in computer applications such as Microsoft Office and scheduling systems is expected.

Preferred Qualifications:

An associate or bachelor’s degree in hospitality management, event management, or a related field is preferred. Experience supporting meetings, conferences, or venue operations is highly valued, along with familiarity with event management or room scheduling software. Candidates with knowledge of audiovisual equipment setup and basic troubleshooting will stand out, as will those who can anticipate client needs and provide proactive service. Experience in higher education, corporate, or conference center environments is also considered a strong asset.

Working Conditions:

Work is performed in a fast-paced, dynamic environment requiring physical activity, including lifting up to 49 pounds and extended periods of standing, walking, bending, squatting, reaching, and navigating stairs. The role involves frequent travel between campus buildings, other campuses, client sites, and industry events or conferences. Requires regular interaction with clients, including active listening and clear verbal communication. The position demands flexibility, including availability for evenings, weekends, and occasional irregular hours to support events.

Direction Received: Reports to Event Services Manager

Direction Given: Does not provide direct supervision to staff members
