- Maintain clear, professional, and timely communication with customers, insurance representatives, Project Managers, and other project stakeholders.
- Monitor active mitigation projects daily, including job status, work-in-progress, documentation requirements, and outstanding action items.
- Create and update preliminary estimates using industry-specific estimating software, subject to Project Manager review and approval.
- Review job-site documentation for accuracy and completeness, including photographs, notes, forms, equipment records, moisture documentation, authorizations, and supporting documents.
- Identify missing or incomplete documentation and follow up with Project Managers and field personnel.
- Maintain accurate and current job information within the company’s project-management systems.
- Assist with estimate submission, invoicing, payment follow-up, and insurance documentation.
- Work closely with assigned Project Managers to ensure every job file is properly documented from initial intake through final billing and closure.
- Provide customers with regular updates and help resolve routine questions or documentation requests.
- Collaborate with accounting, production, reconstruction, and other departments as needed.
- Maintain the confidentiality of customer, insurance, financial, and company information.
- Perform other administrative and project-coordination duties as assigned.
- High school diploma or GED required.
- At least one year of customer service, administrative, project-coordination, or office experience preferred.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Ability to prioritize responsibilities and manage multiple active files and deadlines.
- Strong follow-through and ability to work effectively with limited supervision.
- Proficiency with computers, email, Microsoft Office, and web-based business applications.
- Experience with insurance claims, restoration, construction, property management, or estimating software is helpful but not required.
- Ability to learn company systems, procedures, and industry terminology.
- Ability to successfully complete a background check, subject to applicable law.
