Join UAF's Office of Grants & Contracts Administration as our Office Manager and become a key part of the team supporting the university's research enterprise. We are seeking an organized, service-oriented professional who can coordinate office operations, projects, communications, and administrative activities in a dynamic research administration environment.

The Office of Grants & Contracts Administration (OGCA) at the University of Alaska Fairbanks is seeking an organized, resourceful, and service-oriented professional to serve as Office Manager. OGCA is the central research administration office supporting UAF's externally funded research and sponsored activities, and the Office Manager plays an important role in keeping the people, information, projects, and day-to-day operations of the office moving forward.

This position provides administrative support to OGCA leadership while coordinating recurring office activities, meetings, projects, communications, records, and other operational needs. The Office Manager will work across a busy research administration environment where priorities may shift quickly and where accuracy, follow-through, discretion, and good judgment matter. The position will also assist with tracking information, preparing correspondence and reports, coordinating meetings and events, maintaining organized records and resources, and supporting communications with faculty, staff, administrators, and other partners across the university.

This is more than a traditional administrative support position. The successful candidate will become a central resource for the OGCA team and will help create the organized, responsive, and professional environment necessary for research administrators to effectively support UAF's research community.

You will thrive in this position if you enjoy being the person who brings organization to a busy environment and can see what needs to happen next without always waiting to be asked. Strong organizational skills, attention to detail, and the ability to manage several competing priorities will be important.

You should be comfortable interpreting and applying policies, procedures, rules, and other written guidance; maintaining confidential information; coordinating recurring projects and activities; and communicating with people at many levels of the university. You will need good judgment and the ability to determine when you can resolve an issue independently and when something needs to be elevated.

Because OGCA works in research administration, curiosity and willingness to learn are especially valuable. You do not need to arrive knowing every aspect of sponsored research administration, but you should be interested in learning how grants, contracts, compliance
requirements, university systems, and administrative processes support research. Strong written and verbal communication skills, proficiency with contemporary office technology, and the ability to create and maintain reliable tracking and organizational systems will help you succeed. We are looking for someone who values customer service, teamwork, accuracy, continuous improvement, and helping others get their work done effectively.

Minimum Qualifications:

Associate's degree and two years progressively responsible experience related to the program specialty, or an equivalent combination of training and experience.

Preferred:

Bachelors degree in business; public administration; or equivalent combination of training and experience (organization theory and experience in organization management, human/labor relations, or administration). Valid Drivers License and clean driving record in compliance with UA Safe Driving Criteria.
Demonstrated executive assistant experience acquired through progressively more responsible experience; typically 4 to 5 years.

Position Details:

This position is located on the UAF Troth Yeddha' campus in Fairbanks, Alaska, and flexible on-site/hybrid work arrangements may be considered in accordance with UA regulations.  This is a full-time, non-exempt staff position complete with both a competitive salary and full employee benefits package. UA provides a generous compensation package that includes retirement options, annual leave, 12 paid holidays per year, tuition waivers for employees and family members, and affordable medical, dental and vision care coverage. New hires will be placed on the UA Staff Salary Schedule, Grade 78, based on education and experience.
