POSITION TITLE: Operations Specialist Client Contracts

POSITION SPECIFICATIONS:
- Associates degree or equivalent experience
- Up to 2 years of contract management or project management
- Basic understanding of contract process and financial markets
- Basic database knowledge, experience with Microsoft products such as Word and Excel
- Experience with Docusign, SharePoint and workflow tools is preferred
MAJOR DUTIES:
The Operations Specialist supports the end¿to¿end lifecycle of client contracts by preparing, routing, tracking, executing, and storing agreements. The role coordinates workflow across internal stakeholders including Sales, Client Services, Decision Support, Investor Services, Legal, Compliance, and Finance to ensure timely reviews, required approvals, and accurate contract processing. This position maintains contract data and documentation within CLM and related repositories, performs quality checks for accuracy and compliance, and supports process improvements that enhance contracting efficiency and consistency.
Contract Preparation & Execution Support
- Preparing, routing, tracking, executing, and storing contracts
- Validate that agreements align with approved templates, standards, and contracting guidance
- Confirm that all required reviews, approvals, fee checks, and compliance signoffs are completed prior to execution
- Coordinate signatures using electronic signature tools (e.g., DocuSign)
- Track contract progress through the execution lifecycle and follow up on outstanding actions
- Workflow Coordination
- Manage contract intake, prioritization, and routing based on established procedures
- Ensure contracting workflows run smoothly and escalate issues or blockers to the Manager or Lead
- Communicate with internal business units to clarify requirements, gather needed information, and ensure timely processing
- Participate in corporate projects acting as the expert on client contracts repository
- Tracks and reports on the status of proposed agreements at all points through the execution process using DS CLM, OneDrive, and SharePoint
- Respond to inquiries from clients, service teams, auditors, regulators requesting information about client contracts
- Interact with clients to ensure / facilitate execution of contract, and provide assistance as needed
Data, Systems & Recordkeeping
- Maintain data accuracy in contract repositories (e.g., CLM, SharePoint, SQL databases)
- Upload, store, and categorize fully executed agreements in compliance with record retention policies
- Perform data entry, updates, and quality checks to support contract integrity and reporting
- Assist in maintaining contract templates, clause libraries, and workflow rules under the direction of the Lead
