About this role
This position will specialize in coordinating outpatient imaging authorizations and scheduling for our Neurology patients. The ideal candidate enjoys problem-solving, is comfortable navigating insurance portals, and understands how important timely imaging is to keeping a patient's care moving forward.
In Neurology, imaging can be an essential part of diagnosing and managing a patient's condition. This position will serve as the connection between the provider's imaging order, insurance authorization, Central Scheduling, and the patient, helping reduce delays and create a smoother patient experience.

What We're Looking For:
- Education: High School Diploma or GED, required.
- Experience: One year of clerical experience in medical office setting, required. Other related experience may be considered in lieu of medical office experience.
- Additional Skills Required: Knowledge of medical office software for the following: updating patient demographic information, posting charges, copays, and scheduling patient appointments. Requires excellent verbal communication skills. Must be able to work with changing priorities. Requires excellent organizational, problem solving and critical thinking skills. Must be able to interact with individuals of all cultures and levels of authority. Requires the ability to maintain confidentiality. Must be able to function as part of a team. Must possess initiative. Basic medical terminology required, knowledge can be obtained through formal classes or work experience. High level of working knowledge of EPIC systems. Detailed knowledge of multiple payors billing requirements. Familiarity of coding requirements for practice specialty.
- Additional Skills Preferred: Proficient in use of all computer software utilized in practice.
Work imaging orders placed by Neurology providers, including MRI, CT, and other diagnostic imaging.
Obtain prior authorization through insurance payer portals and other authorization processes.
Review orders for the information needed to successfully obtain authorization.
Track pending authorizations and follow up until a determination is received.
Communicate authorization information and updates to the appropriate teams.
Partner closely with Central Scheduling to ensure approved imaging studies are scheduled timely.
Assist with identifying barriers that may delay authorization or scheduling and work proactively toward resolution.
Communicate with patients when additional information or coordination is needed.
Maintain accurate documentation of authorization status, approval numbers, effective dates, and scheduling activity in the medical record.
Escalate authorization issues, denials, or clinical documentation needs to the appropriate team member.
Help ensure imaging orders do not fall through the cracks by monitoring the process from order → authorization → scheduling.
