They are seeking a People Operations Specialist to coordinate recruiting and pre-employment activities, maintain HRIS records, and provide support to candidates and managers, ensuring efficient and timely processes.
What you'll do:
- Initiate, track, and follow up on all pre-employment screening requirements, in Partner with vendors and hiring teams to ensure timely completion and resolution of any discrepancies
- Prepare, update, and publish job postings using approved templates and established posting channels. Partner with recruiters and hiring managers to ensure posting details are accurate and updated throughout the hiring process
- Serve as an operational point of contact for hiring managers by providing regular updates on candidate progress. Proactively follow up to ensure recruitment activities remain aligned with established hiring timelines and business needs
- Collect timely interview feedback from hiring teams. Ensure candidate decisions and required selection documentation are accurately recorded in the applicant tracking system
- Coordinate new hire readiness activities, including pre-hire paperwork, screening completion, employee data entry, orientation scheduling, system access requests, and communication with new hires and managers. Partner with L&D to ensure new hires are scheduled for orientation and that all required information is provided before their start
- Enter, review, and maintain employee and hiring-related information in Dayforce, ensuring accuracy and completeness. Troubleshoot issues and partner with HR stakeholders as needed
- Enter approved promotions, transfers, and other internal employee status changes in Dayforce
- Process employment verification and tuition reimbursement requests in accordance with established policies and guidelines
- Provide routine administrative support for timekeeping processes by identifying missing or incomplete entries and following up with employees or managers in accordance with established procedures. Escalate unresolved or more complex issues to the appropriate People Team partner
- Review, reconcile, and submit invoices for HR vendors and services, maintain payment records to ensure timely processing and proper documentation
- Track completion of annual processes such as policy acknowledgments, goals, performance evaluations and follow-up with managers as needed
- Provide administrative support for NMLS licensing applications, renewals, terminations, tracking, and follow-up in partnership with appropriate compliance stakeholders

- Demonstrated ability to administer detailed, deadline-driven processes, maintain accurate records, and proactively follow up on incomplete or outstanding activities
- Strong verbal and written communication, problem-solving, and organizational skills, with the ability to work independently and as part of a collaborative team
- Ability to build and maintain effective working relationships with candidates, employees, managers, and People Team partners by providing responsive and professional service
- Proficiency in Microsoft Office Suite and the ability to learn and effectively use applicant tracking systems, HRIS platforms, and other business applications
- Strong analytical and critical thinking skills, with the ability to exercise sound judgement and discretion when handling confidential or sensitive information
- Must develop a thorough understanding of company policies and procedures as they relate to this position
- Must understand and comply with job related state and federal laws and regulations
- A Bachelor's degree in Human Resources or a related field is preferred
- One year of human resources experience or the completion of a related internship
