- Internal Processes and Procedures: Maintain and edit the internal procedures for documents services including delivery and e-sign methods, file storing and naming conventions, as well as technical research as required for document related regulations and drafting guidelines for standardization.
- Supervise and Manage 1 to 2 junior staff members on the document service team who are already in place working on the document team.
- New Plan Documents – work with the consultants and partners to prepare new plan documents packages for signature on new plans.
- Existing/Takeover Plans – work with consultant and partner to prepared restated plan documents onto our firm’s preapproved document system, including review of existing provisions, determination of protected benefit concerns and as needed make recommendations for possible changes on the restatement.
- Cycle 4 Restatement: Manage and oversee the Cycle 4 restatement project for the period of October 2026 to September 2028 for approximately 900 DC plans.
- Amendments: work with the administrators and partners to provide necessary amendments (as requested by the Plan Sponsors)
- Participate in team meetings, training sessions, compliance projects, and firm-wide initiatives.
- Maintain up-to-date technical knowledge through webinars, certifications, and other professional development.
- Serve as a contact for internal clients (administrators and other tax partners); respond to inquiries via Teams, email, or phone.
- Collaborate with Account Managers, New Business Team, and leadership to ensure document projects are completed in a timely manner.
- Escalate client concerns to Team Lead, Director, or Partner as needed for resolution.
- Extensive knowledge of IRS/DOL rules and regulations applicable to retirement plans and specifically Defined Contribution plans
- Experience working with pre-approved plan documents using web-based vendor platforms but especially FIS/Sungard preapproved document system.
- Ability to understand and apply legislative and regulatory language to client documents
- Experience with Self Correction Program (SCP) and Voluntary Correction Program (VCP) under EPCRS a plus.
- Experience using the FIS/Sungard preapproved plan document
- Excellent verbal, written, and interpersonal communication.
- Strong research skills specific to the various pension regulations that would apply
- Strong customer service orientation with the ability to manage multiple priorities.
- Proven ability to meet deadlines in a fast-paced environment.
- Meticulous attention to detail with strong organizational and time-management skills.
- Analytical and problem-solving abilities.
- Proficiency in Microsoft Office and online/web-based applications.
