The salary indicated represents a base pay rate.  If the individual selected or the position is eligible for a pay differential (e.g., shift, security, or years of service), it will be added to the total compensation in your paycheck.  A pay differential does not raise your base pay.

Responsibilities - What you’ll do

  • Provide administrative support to the Budget Director and Assistant Directors, including scheduling meetings, document management and records retention, open record requests, spreadsheet management, and special project assistance.
  • Update office budget tracking documents to monitor spending and provide the Director and Assistant Directors with up-to-date context on the division's annual budget.
  • Support division hiring and personnel management efforts, including job postings, resume review, interview scheduling, skills test administration, and process documentation in MoCareers.
  • Coordinate drafting, proofing, submission, and web publication of the state's Executive Budget, appropriation bills, and related budget documents.
  • Serve as a central point of contact for staff IT problems and assist division staff with technical troubleshooting.
  • Maintain personnel files and spreadsheets, including submission of personnel forms. 
  • Coordinate new employee setup, including personnel paperwork, computer system setup, background check processing, updating employee listings and email distribution lists, and arranging for state identification cards, office keys, and parking assignments.
  • Complete forms to establish the appropriate security for employees needing access to SAM II Financial and HR, MOBIUS, Data Warehouse, MOVERS, and related systems.
  • Distribute email notifications to division staff, including job announcements, press releases, and various facility notifications, and coordinate the division's statewide agency contact lists.
  • Manage daily office operations, including purchasing supplies, processing expense reports, and facilitating annual software or service contracts.
  • Collaborate the cross-train with support staff on duties related to bill tracking, fiscal notes, hearing memos, legislative proposals, and bill reviews.

Qualifications - All you need for success

Minimum Qualifications:
  • Two years of state government experience.
  • Working knowledge of SAM II financial and HR, MOBIUS, Data Warehouse, and related systems.
  • Knowledge of grammar, composition, and spelling, and experience in proofreading.
  • Capacity to multitask, work on several projects at once, and remain organized.
  • Availability to work overtime hours (especially in December, January, May, June, and during the legislative session).
  • Comfort with working independently and exercising sound judgement and discretion.
  • Knowledge of office practices, procedures, systems, and equipment.
  • Willingness and desire to innovate in practices and procedures.
  • Ability to communicate effectively with senior leaders within state government and other key stakeholders.
Preferred Qualifications:
  • Five years of state government experience or prior experience with Budget & Planning.
  • Familiarity with state government structure and organization, including executive branch departments and the legislative branch's processes.
  • Experience working with Microsoft Office software (Outlook, Word, Excel, PowerPoint) and Drupal website publishing tools.
  • Experience with budget tracking, HR support functions, or similar.
