Project Coordinator & Customer Support Specialist

Position Summary

Water Odyssey is seeking an organized, detail-oriented professional to support our Sales and Technical Services teams. This role is responsible for coordinating projects after the sale, preparing submittals, supporting customers, and assisting with replacement parts and technical service requests. The ideal candidate enjoys staying organized, learning technical products, and working with multiple departments to keep projects moving.

Responsibilities

• Coordinate project handoffs from Sales to Operations.
• Create and manage project submittal packages and supporting documentation.
• Track submittal approvals and maintain accurate project records in HubSpot.
• Prepare and distribute Operation & Maintenance (O&M) manuals.
• Communicate project status, production schedules, and shipment updates with customers and internal teams.
• Answer and direct incoming calls
• Provide excellent customer service on all calls

Other responsibilities could include

• Assist customers with replacement parts, warranty requests, and basic technical support.
• Prepare quotes for replacement parts and repair requests.
• Work closely with Sales, Engineering, Operations, and Technical Services to resolve customer and project needs.
• Support continuous improvement by identifying ways to improve processes and the customer experience.

Qualifications

• Excellent organizational and communication skills.
• Ability to manage multiple projects and priorities.
• Strong attention to detail and follow-through.
• Customer service experience required.
• Comfortable learning technical products.
• Experience with Microsoft Office and CRM software (HubSpot preferred).
• Experience with project coordination, construction submittals, manufacturing, or commercial products is a plus.
