Job Duties:
- The Administrative Assistant provides complex and confidential support to the Child Welfare Training Director and Staff Development and Training Division (SD&T). Performs general office management duties, develops reports, inputs data into the agencies Learning Management System, and assists with special projects (e.g, conference registration, etc.).
- Performs and manages general office management process for Child Welfare training, assisting with similar duties for the Staff Development & Training division, including but not limited to: managing trainers calendars and reserving training rooms/locations; managing travel processes and related items including expenses and reimbursements; maintaining and ordering supplies; assisting other administrative staff with managing division equipment (e.g., copiers, etc.) and securing repairs as needed; managing general typing, digital filing, and archiving training courses/cohorts and all accompanying materials professionally, efficiently - all done with confidentiality.
- Assists Child Welfare Training Director and SD&T management with research, planning, and implementation of coordinated special projects. Assist SD&T Division management with monitoring Training contracts with external partners who provide training for the agency. Assist in developing detailed program reports, formulating and administering administrative policies and procedures; and providing input and/or training in administrative management practices and procedures resulting in work flow efficiencies.
- Ensures that personal identifying information (PII) is properly used, assessed, gathered, shared and disposed. Protects the agency networks and applications by safeguarding systems, equipment, and data.
- Perform and handle all other related duties and special projects as requested.
Position Duties
A High School Diploma and relevant experience in business management, public administration, or administrative services.
An Associate Degree or higher may be substituted for the required work experience.
