This role is a key administrative partner to operations leadership, ensuring accuracy, compliance, and smooth daily function across the site.%26nbsp;%3C/p%3E%3Cp style=%22font-family:Arial;%22%3E%26nbsp;%3C/p%3E%3Cp style=%22font-family:Arial;%22%3E%26nbsp;%3C/p%3E%3Cp style=%22font-family:Arial;%22%3E%3Cstrong%3EResponsibilities%26nbsp;%3C/strong%3E%3C/p%3E%3Cp style=%22font-family:Arial;%22%3E%26nbsp;%3C/p%3E%3Cp%3EAdministrative %26amp; Site Coordination (30%)%3C/p%3E%3Cul%3E%3Cli%3EServe as first point of contact for general administrative needs, including office/operational supplies, meeting coordination, visitor management, and document control%3C/li%3E%3Cli%3EPrepare routine site communications, notices, and daily/weekly reports%3C/li%3E%3Cli%3ECoordinate badge access control for employees and contractors, including temporary badges, access changes, and compliance checks%3C/li%3E%3C/ul%3E%3Cp%3E%26nbsp;%3C/p%3E%3Cp%3EPurchase Requisitions, Invoice Processing %26amp; Budget Support (40%)%3C/p%3E%3Cul%3E%3Cli%3ECreate and submit purchase requisitions (PRs), ensuring correct coding, documentation, and approval routing%3C/li%3E%3Cli%3ETrack PRs/POs through the full cycle including receipt and invoice payment to avoid delays or service disruptions%3C/li%3E%3Cli%3EPartner with AP and Procurement to reconcile discrepancies, resolve blocked invoices, and maintain accurate vendor documentation%3C/li%3E%3Cli%3ETrack the facility budget, including PO commitments, recurring services, and monthly spend against plan%3C/li%3E%3Cli%3EPrepare monthly facilities budget summaries and provide regular updates to site management, highlighting trends, variances, and forecasts%3C/li%3E%3Cli%3ESupport month-, quarter-, and year-end accruals by compiling open commitments and expected invoices amounts%3C/li%3E%3C/ul%3E%3Cp%3E%26nbsp;%3C/p%3E%3Cp%3ETimekeeping, PTO %26amp; HR Coordination (30%)%3C/p%3E%3Cul%3E%3Cli%3EManage employee clocked time (regular, OT, shift premiums) and time-off requests%3C/li%3E%3Cli%3EPerform daily audits to resolve exceptions and ensure timely approvals ahead of payroll cutoffs%3C/li%3E%3Cli%3ECoordinate HR-related activities onsite: onboarding/offboarding logistics, badge/access setup, training records, policy acknowledgements, uniform/PPE distribution, and personnel file updates%3Cbr%3E%26nbsp;%3C/li%3E%3C/ul%3E

Qualifications

Education 
•    Bachelor’s Degree or equivalent experience 

 

Experience

  • 2+ years in administrative, AP/procurement support, payroll/timekeeping, or similar operations support experience

  • Experience with an ERP (SAP, Oracle, Microsoft Dynamics) and timekeeping/payroll systems

  • Experience in a Vehicle Processing Center, distributions center, or automotive manufacturing environment preferred

 

Skills

  • Proficiency in Microsoft 365 (Excel, Outlook, Teams, PowerPoint)
  • Strong organizational, analytical, and prioritization skills with excellent attention to detail
  • Ability to work with sensitive information and maintain strict confidentiality
  • Strong communication skills and the ability to support a multi-level workforce

 


Additional Information

  • Understanding of PR/PO workflows, basic accruals, and vendor payment processing
  • Familiarity with budget tracking, variance analysis, and reporting
