Team Lead Registration Specialist (CMAA Required)
Schedule:
Monday through Friday, 7:00 AM – 4:00 PM
Location: Onsite
Position Summary
The Team Lead Registration Specialist provides day-to-day leadership and functional guidance to the front office registration team while continuing to perform Registration Specialist duties. This role is responsible for ensuring efficient clinic operations, supporting team member development, monitoring productivity, and maintaining exceptional customer service standards.
The ideal candidate is a strong leader who can confidently manage emergent situations, coach and develop team members, and foster a positive, collaborative work environment.
CMAA certification is required for consideration.
Key Responsibilities
- Lead and support front office team members to ensure daily responsibilities are completed accurately and on time.
- Coordinate staff schedules and workflow coverage.
- Train, coach, mentor, and develop Registration team members.
- Monitor performance, productivity, and service quality.
- Address operational issues and support escalation needs.
- Serve as a resource and point of contact for team support.
- Promote teamwork, engagement, and continuous process improvement.
- Conduct monthly rounding and participate in annual Rapid Improvement Events and Quality Improvement initiatives.
- Ensure compliance with organizational policies, procedures, and standards.
Registration Specialist Responsibilities
- Manage patient flow from arrival through destination in a timely and professional manner.
- Obtain accurate demographic and financial information to support reimbursement and clinical outcomes.
- Schedule appointments and collect required patient information.
- Explain charges, policies, and procedures to patients.
- Validate and enter charges into appropriate systems.
- Collect payments and answer incoming calls.
- Direct patients and visitors appropriately.
- Precept and support Registration Specialists as requested by leadership.
- Perform higher-level functions as defined by clinic management.

Onboarding & Development
New hires will be partnered with a mentor and complete web-based training. Team members will receive hands-on support and will not be expected to work independently until they are fully comfortable and prepared for the role.

Qualifications
Required
- High School Diploma or GED required.
- Minimum of 3 years of relevant experience in a healthcare setting.
- Certified Medical Administrative Assistant (CMAA) certification required.
- Successful completion of the Foundation of Leadership program within six months of assuming the role, or completion of the Emerging Leaders Program.
- Demonstrated ability to lead, coach, and support team members while maintaining high standards of customer service and operational excellence.
Preferred
- Prior leadership or supervisory experience.
- Coding experience.
- Experience coaching, mentoring, and developing staff.
- Experience in patient registration, patient access, or front office operations within a healthcare environment.
Certification Requirement
Certified Medical Administrative Assistant (CMAA) certification is required for this position.
Current Team Lead Registration Specialists at the time of career ladder implementation will be given priority access to certification exam cohorts. Individuals in the role must successfully obtain CMAA certification within one year of the implementation date. Failure to achieve certification may result in reassignment to the appropriate Registration Specialist role and may include a reduction in pay.
