State Classification: Administrative Assistant III (0154)
This position is eligible for a hybrid onsite/telework schedule. The selected candidate must be available on an as-needed basis at our Camp Hubbard location: 4000 Jackson Avenue, Austin, Texas 78731.

GENERAL DESCRIPTION
Our mission at the Texas Department of Motor Vehicles (TxDMV) is to serve, protect and advance the citizens and industries in the state with quality motor vehicle related services. We are a dynamic state agency dedicated to customer service, consumer protection and the success of motor vehicle-related industries.
Performs moderately complex administrative office support for the Texas Department of Motor Vehicles, Enforcement Division. Work involves disseminating information, maintaining filing systems, and performing internal administrative support work. May work with confidential correspondence and communications. Works under general supervision with moderate latitude for the use of initiative and independent judgment.
ESSENTIAL DUTIES
- Provides administrative support and maintains a close and highly responsive relationship to the day-to-day activities of assigned supervisors and section staff.
- Provides customer assistance answering phone calls, routing incoming calls, taking messages, and answering limited case status or system process related questions.
- Inputs data and generates system letters and documents to complete first level steps in preparation for Investigation or Litigation.
- Edits correspondence for proper format, spelling, grammar, punctuation, content, and clarity.
- Receives, sorts, opens, evaluates content, logs and distributes incoming mail, email and digital faxes; as required may drive to deliver/pick up confidential or time sensitive correspondence.
- Enters and retrieves data into the case processing system to create or update case records and documents including recording payments submitted by phone.
- Trains and assists others with the use of the case processing database to create, research and update work items.
- Travels up to 5% of the time. Travel by car (may include flying). May include overnight travel.
- May require working extended hours and some evenings and weekends, as needed. May be required to work hours other than 8:00 am - 5:00 pm.
- Required to attend work regularly and adhere to approved work hours in accordance with department policies and procedures.
- Employees are required to report to the office as directed.

KNOWLEDGE, SKILLS, AND ABILITIES
Working knowledge with Excel or related spreadsheet software, the Adobe Acrobat. programs, Microsoft Office Suite programs, and Box/SharePoint or related content and knowledge management software is required.
Knowledge of office practices and administrative procedures.
Skill in the use of standard office equipment and software.
Ability to implement administrative procedure; to interpret rules, regulations, policies, and procedures; to communicate effectively; and to provide guidance to others.
MINIMUM REQUIREMENTS
EDUCATION
- Graduation from high school or equivalent.
- Education may substitute for experience on a year-for-year basis.
EXPERIENCE
- This position requires two (2) years progressively responsible clerical or administrative assistant responsibilities supporting internal and external customer service and expertise in Microsoft Office and Adobe Acrobat Software.
- Experience requirements may be satisfied by full-time experience or the prorated part-time equivalent.
ADDITIONAL INFORMATION
TRAVEL
May travel up to 5% of the time. May include overnight travel. Travels by car and possibly by plane. May require working extended hours and some evenings and weekends, as needed.
REGISTRATION, CERTIFICATION AND/OR LICENSURE
A valid Class "C" driver's license is required. If not currently a Texas resident, must obtain a Texas Driver's License within ninety (90) days after entering Texas as a new resident. A satisfactory driving record is required for operating state or personal vehicles to conduct department business.
