Due to continued growth, we are looking to add a Billing Specialist to our Buffalo, NY team. As a Billing Administrator, you will perform a variety of clerical duties focused on our billing processes and requests, ensuring customers are invoiced accurately and their preferred billing procedures are followed. This role combines detailed billing work with customer service and document management support. Success in this role requires strong organizational skills, attention to detail, and the ability to communicate clearly with customers and internal teams.

Key Responsibilities:

  • Accurately prepare and invoice customers per the requirements of the job and the customer to ensure preferred billing procedures are followed, including credits and rebills when necessary.
  • Provide customer service, including invoicing quickly and accurately, collecting past-due balances, and answering questions related to invoices.
  • Scan and upload documents to the online document storage system, including invoices, purchase orders, contracts, and other customer-specific information.
  • Collect W-9 forms, Certificates of Insurance, and Exempt Sales Tax certificates as required.
  • Greet visitors and callers, handling their inquiries or directing them to the appropriate person based on their needs.
  • Assist in obtaining information needed for each job, such as PO numbers, tax-exempt forms, insurance certificates, utilization reports, liens, credit applications, and certified payroll information.
  • Update Master Service Agreements.
  • Perform other duties or special projects as assigned.

Qualifications:

  • Good oral, written, and telephone communication skills.
  • Good customer service skills.
  • Strong time management, organizational, and interpersonal skills.
  • Moderate to advanced computer skills, including Microsoft products.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Previous experience with billing required.
  • High School Diploma/GED required; Associate's Degree preferred.
  • Previous experience in an administrative setting, or an equivalent combination of education and experience.
  • Previous experience in the fire protection industry a plus.

Physical Demands & Work Environment:

  • Office environment with moderate noise.
  • Mostly sedentary role with the need to move about the office to copy, scan, fax, and file.
  • Requires opening heavy file cabinets with bending, stooping, or kneeling to file.
  • May require light lifting of storage boxes, packages to be mailed, etc.
  • May require consistent time spent on the computer and phone throughout the day.

The wage for this role is $24 to $26 per hour, based on experience and qualifications.
