About the Department
Pay Grade: Assistant 6
This position provides technical and administrative support to the Operations and Program Supervisors, Directors, Senior Director, and Instructors within Community and Career Education.
Position Duties
To perform this job successfully, an individual must be able to perform the essential job functions satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the primary job functions herein described.
*Prepares instructor contracts, contract changes, and monthly payroll for the department
*Prepares class packets and processes class files, student data, and paperwork, including withdraws, transfer, drops and refunds, consistent with the requirement of Workforce Development open enrollment programs and auditing guidelines
*Verifies all class paperwork, such as registration forms, enrollment reports, memos, and instructors' contracts, is complete for each section
*Builds course sections in the college’s student information system for Occupational Programs
Creates and maintains department filing system for all class records
Responds promptly to all inquiries from prospective students, providing general information, and making internal referrals as appropriate
Notifies and communicates with registered students about class information and records, refunds, and general inquiries
Collaborates with other Technical Assistants within Workforce Development to ensure documentation consistency and communication within the division
Compiles information and creates reports for departmental class statistics
Provides training on administrative processes for staff members as needed
Assists with scheduling meetings, training, and workshops
Minimum Qualifications
Knowledge, Skills, and Abilities
Must be familiar with Microsoft Office products
Ability to lift, pull, push, and carry to 40 pounds
Must work harmoniously with staff, faculty, and the general public
Strong organizational skills
Excellent oral and written communication skills
Exceptional customer relations skills
Minimum Requirements
High School diploma or equivalent and two years of clerical work experience.
Valid Driver's license and approval required by the College’s liability insurance carrier
Preferences
Four years of clerical work experience
Community College clerical experience
